Route Calendly Bookings to Right Rep
When someone books on Calendly, route them to the right sales rep based on availability
Your Calendly booking form has multiple reps. This automation intelligently routes bookings to the least-busy rep or by specialty match.
Calendly booking forms often ask 'Which rep would you like to meet?' Most prospects pick the first name or say 'doesn't matter,' so assignments are random and uneven.
This automation makes Calendly routing smart. When someone books, Nora checks: (a) if they specified a rep, honor it; (b) if not, check current load for each rep—assign to the least-busy; (c) if there's a specialty match in the booking form (e.g., they're a tech SMB and one rep specializes in tech SMBs), assign to that specialist.
You configure your reps' specialties (e.g., 'Enterprise,' 'SMB,' 'Non-profit') and current workload thresholds (alert if >5 open tasks).
Example: Your booking form says 'I'm most interested in discussing [pricing / onboarding / enterprise sales].' A prospect selects 'pricing.' Your 3 reps: Alice (pricing specialist, 8 open tasks), Bob (generalist, 4 open tasks), Carol (onboarding specialist, 6 open tasks). Nora books the prospect with Bob (least-busy generalist) but tags it as 'pricing interest' so he focuses on price objections. Bob picks up the call prepared.
Without smart routing, the prospect might have landed with Carol (onboarding specialist), wasting their time.
