Nora monitors HubSpot deal records for specific logged activities, such as emails sent, meetings booked, or tracked links opened. When it detects a milestone event on a deal, Nora evaluates the current pipeline stage and the defined transition criteria. If the conditions match, Nora moves the deal to the next stage and logs the transition reason in the deal's activity feed.

Sales representatives no longer spend time scanning their activity feeds to manually drag deal cards across the board. They focus on the actual conversations and negotiations, relying on the pipeline view to accurately reflect current deal status. The sales manager still decides the criteria for each pipeline stage and reviews stalled deals that fail to advance.

How it works

  1. Monitor deal activity feeds — Nora polls HubSpot for new activities logged against deals in the active pipeline. It looks for specific event types, such as emails sent, meetings scheduled, or notes added, pulling the activity metadata and timestamp.
  2. Check current pipeline stage — When an activity occurs, Nora queries the deal record to determine its current stage. It ignores deals that are already marked as closed-won or closed-lost, focusing only on active deals that might require advancement.
  3. Evaluate milestone criteria — Nora compares the logged activity against the criteria for the deal's current stage. It checks if an event like a meeting booked on a 'Prospecting' deal qualifies it to move to 'Demo Scheduled'.
  4. Handle manual overrides — If Nora detects that a user recently moved a deal backwards in the pipeline, it pauses auto-advancement for that specific deal. It flags the record and waits for a new milestone event before attempting to advance it again.
  5. Update deal pipeline stage — If the criteria are met, Nora updates the deal property in HubSpot to reflect the new pipeline stage. The change appears on the Kanban board for the sales team.
  6. Log the advancement reason — Nora adds a note to the deal's activity feed documenting the stage change. It records the timestamp, the previous stage, the new stage, and the specific activity that triggered the transition.

What this replaces

Sales representatives monitor their email and calendar for customer actions, then open HubSpot to locate the corresponding deal. They manually update the deal stage property or drag the deal card to the next column on the board. Managers frequently have to remind reps to update their deals to keep pipeline reports accurate.

What happens if a rep manually moves a deal backward in the pipeline?

Nora detects manual regressions by checking the deal's stage history. If a rep drags a deal from 'Negotiation' back to 'Discovery', Nora flags the record and stops applying forward-advancement rules for that specific deal. You can tell Nora in chat to resume normal automation for that deal once the regression is resolved.

Can Nora skip pipeline stages if multiple milestones happen at once?

Yes, if the activities occur simultaneously or between polling intervals. If a prospect replies to an email and books a meeting in the same hour, Nora evaluates the deal against the furthest applicable stage criteria. It updates the deal to the most advanced valid stage and logs both trigger events in the activity feed.

How do I change the rules for when a deal should advance?

You tell Nora in your chat channel. If your process changes and you want deals to move to 'Demo Scheduled' only when a specific custom meeting type is booked, you message Nora with the new requirement. Nora updates its evaluation logic immediately.

Does this automation create new deals or only update existing ones?

This specific automation only evaluates and updates existing open deals in your pipeline. It monitors the activities logged against deals that are already created. If you need Nora to create new deals when a contact first submits a form or books a meeting, you can ask Nora to set up a separate deal creation automation.
