Follow-Up After Meeting
Nora sends follow-up emails and next steps after your Calendly meetings end
The day after a meeting, Nora sends a personalized follow-up email with a summary of what was discussed and next steps.
Nora monitors Calendly for completed meetings. Twenty-four hours after an event ends, she queries the event history to retrieve the meeting details, attendee information, and any notes or links added to the Calendly record. She then drafts and sends a personalized follow-up email via Gmail containing a summary of the discussion and specific next steps.
Sales representatives still decide the next steps and make note of key discussion points. They drop brief bullet points into the Calendly event notes immediately after a call. Nora handles the formatting and delivery the next day, removing the need to manually draft routine messages from scratch.
Runs 24 hours after meeting ends using Calendly and Gmail, run by your Sales Manager.
How it works
- Monitors completed Calendly events — Nora checks your Calendly account on a schedule to identify meetings that ended exactly 24 hours ago. She uses the event history endpoint to find these specific records and their associated invitees, initiating the follow-up process for each.
- Reads event notes and links — For each completed meeting, Nora extracts the description, attendee details, and any notes you appended to the event record after the call. The 24-hour delay provides a window for you to add these notes before she acts.
- Evaluates the note content — Nora reviews the extracted notes to identify key discussion points and action items. If the event notes are empty or indicate a no-show, she halts the process for that specific meeting and sends nothing to the attendee.
- Drafts the follow-up email — Using the context from the meeting notes, Nora writes a plain-text email. The draft includes a brief thank-you, two to three bullet points summarizing the discussion, and the specific next steps with assigned owners and dates.
- Attaches relevant meeting documents — If you included URLs or document links in the Calendly event notes, Nora appends these to the bottom of the email draft. This includes items like recorded video links or pricing PDFs discussed during the call.
- Sends email via Gmail — Nora sends the finalized email to the attendee using your connected Gmail account. The message originates from your address, meaning any replies from the prospect go directly into your standard inbox for you to continue the conversation.
What this replaces
Sales teams typically review their calendar from the previous day, open a blank email for each meeting, and try to recall what was discussed. They dig through personal notebooks or CRM records to find the specific next steps, type out a summary, attach any promised links, and send the email. Often, this gets delayed or forgotten entirely.
- Review yesterday's calendar to find completed meetings
- Cross-reference personal notes to recall discussion points
- Draft a new email with a summary and action items
- Find and attach promised documents or links
- Send the email to the attendee
Rough estimate rather than a measured figure: about 30 minutes a day, based on 4 to 6 meetings requiring 5 to 8 minutes each to review notes and write a custom email.
What it needs to run
Accounts and plans
- Calendly account with API access (Professional tier or higher)
- Gmail or Google Workspace account
Access it asks for
- Calendly Personal Access Token or OAuth to read event history and invitees
- mcp__gmail__send_email so Nora can send the follow-up messages
- mcp__gmail__draft_email if you configure Nora to create drafts instead of sending directly
What Nora reads
- Calendly event history and attendee lists
- Notes and links appended to the Calendly event record
What Nora writes
- New outgoing emails in your Gmail sent folder
- Draft emails in your Gmail drafts folder, if configured
When it goes wrong
- The Calendly API rate limit is exceeded Calendly allows 600 requests per minute. If Nora hits an HTTP 429 error, she pauses the query, waits for the limit window to reset, and resumes checking for completed events.
- The Calendly event notes are left entirely empty If you do not add any notes to the Calendly event within the 24-hour window, Nora skips the event. She sends nothing and logs the skip in your chat channel.
- The invitee is marked as a no-show Nora checks the invitee status in Calendly. If the person is flagged as a no-show or the event was cancelled, she aborts the follow-up process and takes no further action.
- The Gmail OAuth authentication token expires or revokes Nora cannot send the email. She alerts you in your chat channel that the Gmail connection requires re-authentication, holding the drafted follow-ups in memory until access is restored.
Who this is for
Worth it if
- Account executives handling 4 to 8 discovery calls a day who struggle to send timely summaries.
- Consultants who need to provide written records of advice and next steps after client sessions.
- Sales managers wanting to standardize the follow-up process across a small team.
Not worth it if
- Teams handling highly sensitive meetings where written summaries require legal review before sending.
- Individuals who only take one or two meetings a week and prefer writing highly bespoke, long-form emails.
- Users on the basic Calendly plan which does not provide API access.
A worked example
A boutique recruiting agency conducts screening calls via Calendly. After a call, the recruiter adds raw notes to the event: "Candidate wants 90k. Notice period 4 weeks. Next step: technical interview next Thursday."
Subject: Next steps from our chat Hi David, Thanks for taking the time to speak yesterday. To summarize our call, we noted your target salary expectation of $90,000 and your current four-week notice period. As discussed, the next step is a technical interview. I will send over the calendar invitation for next Thursday shortly. Please let me know if you have any questions in the meantime. Best, Sarah
Frequently asked questions
What happens if I need more than 24 hours to add my notes?
You can tell Nora to change the delay. If you prefer a 48-hour window, or want follow-ups sent at a specific time like 4:00 PM the next day, you state that in your chat channel. Nora updates the schedule for all future meetings without you needing to adjust any settings.
Can I review the emails before Nora sends them?
Yes. You can ask Nora to create drafts in Gmail instead of sending them immediately. She uses the mcp__gmail__draft_email scope to stage the messages in your drafts folder. This allows you to read, edit, and approve the text manually before the email goes out to the prospect.
How does Nora know which notes are meant for the email and which are private?
Nora reads all text added to the Calendly event notes field. If you need to keep certain thoughts private, you should instruct Nora to look for a specific prefix, like "External:", and only include the text that follows it in the email draft. She will then ignore the rest.
Will this send follow-ups for internal team meetings?
By default, Nora processes all completed events in your Calendly history. To prevent internal spam, you can tell Nora to ignore events where the invitee email domain matches your own company domain, or to only run on specific Calendly event types like a standard discovery call.
