Daily Pipeline Review Email
Get your sales pipeline status delivered to your inbox every morning
Nora generates a daily digest of your Pipedrive pipeline, showing new deals, stage changes, and revenue forecast. The report is emailed to your team leaders every morning at 8am, keeping everyone aligned without needing to log into Pipedrive.
At 8am every day, Nora queries the Pipedrive API to pull all active deals. It groups these deals by pipeline stage, calculates the total value per stage, and identifies any deals lacking logged activities in the past seven days. Nora then drafts and sends a formatted HTML email via Gmail to the designated sales managers, summarising the pipeline status, new deals, and at-risk accounts.
The sales manager reads the email digest over morning coffee rather than logging into Pipedrive to run manual filters. They use this summary to decide which reps need support and which at-risk deals require immediate intervention, acting only on the exceptions highlighted in the report.
Runs daily at 8am using Pipedrive and Gmail, run by your Sales Manager.
How it works
- Trigger on schedule — Every morning at the requested hour, the cron schedule triggers Nora to begin the pipeline review. It uses the stored Pipedrive API token to authenticate and initiate the data extraction process.
- Extract active deals — Nora queries the Pipedrive API for all open deals. It reads the deal values, current pipeline stages, and the dates of the most recent logged activities for each record.
- Calculate stage totals — The deals are grouped by their current pipeline stage. Nora sums the monetary value of the deals in each stage to generate a current revenue forecast and identifies any deals that moved stages in the last 24 hours.
- Flag at-risk deals — Nora checks the activity logs for every open deal. If a deal has no calls, emails, meetings, or tasks logged against it in the past seven days, Nora flags it as at-risk for the final report.
- Handle empty pipelines — If the API returns no active deals or no changes from the previous day, Nora still generates a report. The email explicitly states that the pipeline is empty or unchanged, preventing managers from wondering if the automation failed.
- Send summary email — Nora formats the grouped data, totals, and at-risk warnings into an HTML email. It uses the Gmail API to send this digest directly to the specified team leaders.
What this replaces
A sales manager logs into Pipedrive every morning and applies multiple filters to the deals board. They check for newly created deals, manually sum the values in each stage, and click through individual records to see when the last activity occurred. They then copy this data into an email to share with the wider team.
- Log into Pipedrive and filter by open deals.
- Manually calculate the total value of deals in each pipeline stage.
- Open individual deals to check the date of the last logged activity.
- Draft an email summarising the findings for the sales team.
Rough estimate rather than a measured figure: about 20 to 30 minutes a morning, assuming a pipeline of 50 active deals that require manual filtering and activity checking.
What it needs to run
Accounts and plans
- A Pipedrive account with API access
- A Google Workspace or Gmail account
Access it asks for
- Pipedrive API token (query param api_token) or OAuth for read access to deals and activities
- mcp__gmail__send_email to allow Nora to dispatch the daily digest
- mcp__gmail__draft_email if you prefer Nora to create a draft for review before sending
What Nora reads
- Pipedrive deal status, value, and current stage
- Pipedrive activity logs (calls, emails, meetings, tasks) linked to deals
What Nora writes
- Outbound emails sent via Gmail to the specified recipients
When it goes wrong
- The Pipedrive API token expires or is revoked by an admin Nora detects the authentication failure when attempting the morning pull. It halts the process and sends a message in your chat channel asking you to provide a new API token.
- A deal has a missing or malformed monetary value Nora excludes the malformed value from the total stage calculation to prevent arithmetic errors. The final email lists the specific deal by name, noting that its value is missing.
- Pipedrive rate limits are exceeded due to massive deal volume If the pull hits the 100 requests per 2 seconds limit, Nora pauses and retries using exponential backoff until the data extraction completes, keeping the daily limit of 120,000 requests in mind.
- No deals have changed stages and no new deals exist Nora completes the analysis and sends the email as scheduled. The digest simply reports zero changes and lists the static pipeline totals, confirming the system ran successfully.
Who this is for
Worth it if
- Sales managers at B2B companies tracking 30+ active deals simultaneously.
- Remote teams that rely on asynchronous daily updates rather than morning stand-up meetings.
- Organisations with long sales cycles where deals easily stall without regular activity monitoring.
Not worth it if
- High-velocity transactional sales teams where deals close in hours and a daily summary is too slow.
- Solo founders managing fewer than ten deals, where a quick glance at the Pipedrive board is faster.
- Teams using CRM tools other than Pipedrive, as this specific workflow relies on Pipedrive's API structure.
A worked example
A 15-person software agency has 45 active deals in Pipedrive. They tell Nora to send a pipeline digest every morning at 8:30 AM to the two sales directors, highlighting deals with no activity in seven days.
Subject: Daily Pipeline Digest - Oct 12 Pipeline Status: - Discovery: 12 deals ($140,000) - Proposal: 8 deals ($210,000) - Negotiation: 4 deals ($320,000) Changes since yesterday: - 2 new deals added to Discovery ($45,000 total) - 'Acme Corp Upgrade' moved to Negotiation At-Risk Deals (No activity in 7 days): - 'TechFlow Annual Contract' (Proposal) - Last activity: Oct 4 - 'Globex Implementation' (Discovery) - Last activity: Oct 2 Total Pipeline Value: $670,000.
Frequently asked questions
Can I change the time the email goes out or who receives it?
Yes. You control the schedule and the recipient list. If you want to change the delivery time from 8 AM to 9 AM, or add a new team member to the distribution list, you just tell Nora in your chat channel. Nora updates the cron schedule and the email parameters immediately.
What happens if my pipeline is completely empty?
Nora still runs at the scheduled time and queries Pipedrive. It will send an email stating that there are zero active deals and no changes from the previous day. This confirms the automation is still functioning and has not silently failed.
Does Nora alter any of the deal data in Pipedrive?
No. For this specific automation, Nora only reads data from Pipedrive. It pulls deal values, stages, and activity logs to generate the summary. It does not create, update, or delete any records or stages in your Pipedrive account.
Can I adjust what counts as an at-risk deal?
Yes. The default is seven days without a logged activity (call, email, meeting, or task). If your sales cycle is faster and you want deals flagged after three days, you tell Nora in plain English to change the at-risk threshold, and it will apply the new rule tomorrow.
