Auto-Rollup Project Status from Team Updates

Executive dashboard updates itself—no more status meetings.

Nora collects weekly status updates from team leads in Notion, rolls them up into an executive project dashboard, and flags at-risk projects.

Every Friday at 2:00 PM, Nora distributes a Notion form to team leads asking for current status, active blockers, and next steps. Over the next two hours, it collects the responses. At 4:00 PM, Nora compiles these entries into an executive database view. It color-codes each project—green for on track, yellow for at risk, and red for blocked—based on the reported progress against expected weekly milestones. Critical blockers are extracted and highlighted at the top of the dashboard.

The operations lead opens the rollup view to see the health of all projects in one place. They review the escalated blockers and decide where to intervene or reallocate resources. The manual work of chasing team leads and formatting status tables is gone, leaving only the executive decisions.

Runs weekly on friday at 4:00 pm; collection reminder at 2:00 pm using Notion, run by your CEO.

How it works

  1. Distribute status forms — On Fridays at 2:00 PM, Nora creates and shares a standardized Notion page with a form block for each designated team lead. It requests the current project phase, active blockers, and upcoming actions for the week.
  2. Collect team responses — Nora monitors the specific Notion database where form submissions land. It waits two hours for leads to complete their updates, tracking exactly which assigned projects have received responses and which ones are still pending.
  3. Handle missing updates — If a project lacks an update by 3:45 PM, Nora adds a direct comment tagging the responsible team lead inside their specific project page. This serves as a final reminder before the main rollup runs.
  4. Compile executive dashboard — At 4:00 PM, Nora queries the submission database and maps all new entries to the master project portfolio database. It updates the current status property for every active project row based on the new data.
  5. Flag project risks — Nora evaluates the text in the blockers field and the reported progress. It updates a select property to color-code the project as on track, at risk, or blocked based on the severity of the delays.
  6. Surface critical blockers — For any project marked at risk or blocked, Nora reads the specific blocker text. It then appends this text to a summary block at the top of the executive dashboard page for immediate leadership visibility.

What this replaces

Operations leads spend Friday afternoons messaging individual project managers to ask for their weekly updates. They wait for replies, read through unstructured paragraphs, and manually copy the relevant details into a master Notion database. They then read through the whole list to figure out which projects need executive attention and color-code the rows themselves.

Rough estimate rather than a measured figure: about 90 minutes every Friday, assuming 15 active projects and 5 to 7 minutes per project to chase, read, and format the data.

Frequently asked questions

How do I change the time the form goes out?

You tell Nora in plain language through your chat interface. If you want updates collected on Thursday afternoons instead of Fridays, you send a message requesting the change. Nora updates its own internal schedule and starts sending the collection requests at the newly requested time.

What happens if a team lead is on vacation?

If no update is submitted by the deadline, Nora marks the project status as unknown for that week. You can tell Nora to tag a specific secondary contact for a project if the primary lead is away, and it will route the request to them instead.

Does Nora read all my Notion pages to do this?

No. Nora only queries the specific databases you authorize it to access, such as the master project portfolio and the weekly updates database. It does not search or read unrelated workspace pages, personal notes, financial records, or human resources documents stored elsewhere in your Notion account.

Can Nora alter the structure of my executive dashboard?

Nora updates the data inside existing properties and appends text to a specific summary block on the page. It does not delete columns, change property types, or delete the dashboard page itself. It works strictly within the database schema you already have in place.
