Every Friday at 5 PM, Nora connects to Xero to retrieve the latest bank feed data and the current bank account ledger balance. It compares the raw bank transactions against the recorded Xero entries to identify any items that sit on one side but not the other. After calculating the total discrepancy and variance percentage, Nora sends a reconciliation summary to the finance team via email or web chat.
The finance manager no longer spends Friday afternoon clicking through pages of matched rows to find the gaps. They review the isolated list of unmatched transactions and investigate the flagged anomalies. How it works
- Trigger on schedule — Every Friday at 5 PM, the schedule initiates the check. Nora uses its stored OAuth credentials to authenticate with the Xero API, requesting a new access token if the previous thirty-minute token has expired.
- Retrieve bank feed data — Nora pulls the recent bank transactions imported into Xero from the connected institutional feeds. It reads the dates, amounts, and reference details for all activity that has occurred since the last successful reconciliation date.
- Read Xero ledger balance — Nora queries the corresponding Xero bank account records via the API. It retrieves the recorded ledger balance and the list of individual transactions already logged in the accounting system for that exact same time period.
- Compare and identify mismatches — The system cross-references the bank feed against the Xero ledger. It isolates transactions that exist in the bank feed but lack a corresponding Xero entry, and Xero entries that have not cleared the bank.
- Calculate variance totals — Nora sums the value of the unmatched items to determine the total discrepancy between the bank balance and the Xero balance. It calculates the variance percentage to highlight the scale of the gap for the reviewers.
- Handle exact matches — When the bank balance and Xero ledger match exactly with no outstanding items, Nora stops the process. It sends a brief confirmation message stating the accounts are fully reconciled, requiring no human review.
- Send discrepancy report — If gaps exist, Nora formats a summary listing the unmatched transactions and the total variance. It sends this report to the finance team's designated channel, highlighting large differences for immediate investigation by the staff.
